Transferring stock between stores

When stock moves between your locations, use a transfer rather than adjusting one store down and the other up. A transfer is two-sided and tracked, so stock in transit is never invisible and never counted twice.
Creating a transfer
Go to Inventory โ Transfers, pick the source and destination stores, and add the products and quantities. Save it as a draft while you are still building it.
The transfer lifecycle
A transfer moves through four states, and stock changes hands at defined points:
- Draft โ being prepared; nothing has moved.
- Pending โ submitted, awaiting approval where your process requires it.
- In transit โ stock has left the source store and is on its way.
- Received โ the destination has confirmed what arrived, and its count goes up.
Because the increase only happens on receipt, a van-load of stock cannot be sold at both ends at once.
Receiving a transfer
At the destination, open the transfer and enter what actually arrived. Discrepancies between sent and received are recorded rather than quietly absorbed โ investigate them the same way you would a delivery shortfall.
Checking stock elsewhere first
Before requesting a transfer, use the multi-location stock lookup โ available at the register as well as in the portal โ to see who actually has the item.
Permissions
Creating, approving, receiving, and cancelling transfers are separate permissions. A common setup lets store staff create and receive while a manager approves.
Reviewing movement
Transfer analytics shows volume by route, average time in transit, and which locations are consistently sending or receiving โ useful for spotting where you are buying into the wrong store.
Note: your business can rename menu items (Settings โ POS Configuration โ Menu Labels), so the names in your menu may differ from those shown here.
