Service scheduling
Vehicle Fleet → Service & Maintenance tracks servicing by mileage interval and by date, whichever falls first. Each vehicle shows what is due and what is overdue, and a vehicle in for service is out of availability so it cannot be booked while it is on a ramp.
Recording work
Log each service with the work done, the parts used, the cost and the supplier. Over time this becomes the per-vehicle running cost, which is what tells you whether a vehicle is still worth keeping.
Tyres
Tyres are tracked separately because they wear on their own schedule. Record fitment and condition; a tyre check at every check-in costs seconds and catches the problem before it becomes a roadside call.
Parts
Parts Inventory holds consumables and spares with stock levels, so a routine service is not delayed waiting on a filter.
Compliance documents
Documents & Compliance holds the certificates each vehicle must carry — insurance, roadworthiness, registration, licences — with their expiry dates. Watch these actively. A vehicle hired out on lapsed insurance is a serious problem, and the expiry is entirely predictable.
Incidents
Incidents records accidents and damage with location, description and photos, linked to the rental and driver. That record supports the insurance claim and shows whether particular vehicles or routes are producing repeat incidents.
Reading the numbers
Fleet analytics gives utilisation, revenue per available vehicle, and profit per vehicle after running costs. A vehicle with high utilisation and poor profit is usually telling you about its maintenance bill.
