Everything the fleet module does rests on how the fleet itself is described. Get this right and bookings, availability and pricing follow.
Vehicle classes
Start with Vehicle Fleet → Vehicle Classes — economy, compact, SUV, van. Customers book a class rather than a specific vehicle, which is what lets you substitute within the class on the day. Rates attach to the class.
Vehicles
Add each vehicle under Vehicles with its registration, VIN, class, current mileage, fuel type and photos. The VIN can be decoded to fill in the specification rather than typing it.
A vehicle's status controls whether it is bookable — available, on hire, being cleaned, in for service, or off the road.
Rates
Pricing Rules sets the base daily, weekly and monthly rates per class, plus seasonal adjustment and volume discount for longer hires. Because rates are rules rather than fixed numbers, a peak-season change is one edit.
The add-ons
- Insurance Options — the waivers and cover levels you offer, priced per day.
- Accessories — child seats, roof racks, additional drivers, GPS.
- Promotions — discount codes with their own restrictions and validity.
Terms and locations
Terms & Conditions are versioned and can be held in several languages; the version the customer accepted is recorded against their booking, which matters if a charge is ever disputed. Pickup Locations defines where vehicles can be collected and returned, including one-way combinations.
Mileage policy
Decide included mileage per rate and the per-unit charge beyond it. Say it clearly at booking — mileage overage is the most commonly disputed charge in vehicle rental.
Note: your business can rename menu items (Settings → POS Configuration → Menu Labels), so the names in your menu may differ from those shown here.
