Controlled substances & compliance

A controlled substance register kept under lock

Controlled substances carry obligations ordinary stock does not. Pharmacy → Controlled Substances keeps the separate record those obligations require.

What is recorded

Every movement — received, dispensed, returned, destroyed — with the drug, quantity, date, the staff member responsible, and the patient and prescriber where relevant. The register is the evidence that what came in matches what went out.

Running balances

Each controlled item carries a running balance you can reconcile against a physical count. Reconcile on a schedule rather than when something feels wrong; a discrepancy found weeks late is far harder to explain than one found the same day.

Discrepancies

If the count does not match, do not adjust it silently. Investigate, record what you found, and follow your jurisdiction's reporting requirements. An unexplained adjustment in a controlled register is exactly what an inspection looks for.

Who can do what

Restrict controlled-substance functions to the staff authorised to perform them, and give every person their own login. A shared login makes the register useless as a record, because it cannot say who did anything.

Prescriber verification

Controlled scripts depend on the prescriber being who they claim to be. Prescribers holds verified practitioner records with their identifiers, checked for uniqueness so two records cannot drift apart and be used interchangeably.

Reporting

Pharmacy Reports covers controlled movement for the period, which is usually the form an inspection or a regulatory return needs.

What this is and is not

SalesPoint360 keeps the record accurately and makes it produceable. It does not know your jurisdiction's schedules, storage requirements, or reporting deadlines. Configure it to match your regulator's rules and treat the register as a legal document, because it is one.

Note: your business can rename menu items (Settings → POS Configuration → Menu Labels), so the names in your menu may differ from those shown here.
