Dispensing accurately depends on three records being right: the patient, the prescriber, and the insurance.

Patient records

Pharmacy โ†’ Patients holds demographics, allergies, current medication, and insurance details. Allergies and current medication are the fields that make interaction checking meaningful, so they are worth keeping current at every interaction rather than at registration only.

Privacy

Patient records are health data and among the most sensitive information the platform holds. Restrict access to staff who need it, give everyone their own login, and remember the activity log records who viewed what โ€” which is both a control and a protection for your team.

Prescribers

Prescribers holds the practitioners you accept scripts from with their identifiers and contact details. Identifiers are checked for uniqueness, so the same prescriber cannot end up as two records that are separately half-correct.

Good prescriber records also speed up refills, because contacting them for a new authorisation is a routine part of the queue.

Immunisations

Immunizations records vaccinations administered โ€” product, lot, site, and who gave it โ€” which both the patient record and any reporting obligation require.

Insurance

Insurance details on the patient drive the split between what the plan pays and what the patient pays at the counter. Where a plan requires approval before dispensing, Prior Authorization tracks the request so a patient waiting on approval is not forgotten.

Reconciling

Insurance rarely pays exactly what was claimed. Reconcile remittances against claims regularly; the gap between billed and received is real money and it accumulates quietly.

Keeping it clean

Duplicate patient records are the most common data problem in a pharmacy, and the most dangerous โ€” half a medication history is worse than none. Search before creating, and merge duplicates when you find them.
