Refunds, returns & exchanges
On this page
SalesPoint360 handles full and partial returns, exchanges, and store credit against an original sale, restocking inventory and recording everything so your reports and drawer stay accurate.
Find the original sale
From the register or Sales → Returns, look up the original sale by its number or by scanning the receipt barcode. You can return the whole sale or select specific line items and quantities.
Choose a refund method
Pick how the money goes back:
- Original tender — back to the card or cash used.
- Cash — hand it back from the drawer.
- Store credit — issue a credit note the customer redeems later.
Returned items are restocked automatically (for tracked products), and a return receipt is produced.
Reason codes
Configure return reason codes (damaged, wrong size, changed mind…) so every return is categorised. Return analytics then show you why items come back and which products drive the most returns.
Exchanges
An exchange is a return and a new sale in one step: return the unwanted item and ring the replacement, and the register settles only the difference — the customer pays more or receives change or credit as needed.
Credit notes and store credit
Store credit lives as a credit note with its own code and balance. Customers redeem it at the register like a gift card; you can look one up by code, adjust or void a balance, and see the full issue/redeem ledger under Credit Notes.
Refund versus void
Refunding reverses a completed sale and moves money. Voiding cancels a sale before it settles and is the right choice for a mistake caught immediately. Both are permission-gated, so you can allow supervisors to void or refund while cashiers cannot.
Note: your business can rename menu items (Settings → POS Configuration → Menu Labels), so the names in your menu may differ from those shown here.
