Where you price work before doing it, quotes and proposals give the customer something to approve and give you something to convert.
Building a quote
Create one under Finance โ Quotes. Add lines from your catalogue or as free text, set quantities and discounts, and give it an expiry date. Tax follows your normal rules, and the totals are calculated for you.
Sending it
Email the quote and the customer gets a link to a public page โ no login needed. They can read it, then approve or decline it there. Every step is recorded: when it was sent, when it was first viewed, and what they decided.
That view timestamp is genuinely useful. A quote read three times and not approved is a different conversation from one never opened.
Proposals
Finance โ Proposals is the richer format for when a price list is not enough โ a formatted document with sections, images, and narrative alongside the pricing. Items can carry their own billing cycle, so a proposal can mix one-off and recurring charges.
Turning it into money
An approved quote converts to an invoice in one step, carrying its lines and pricing across. A proposal that mixes cycles splits correctly: one-off items become an invoice, recurring items become a recurring invoice.
Quotes can also be taken straight to the register, so a customer who walks in can pay against the quote they were sent.
Templates and branding
The document layout follows Settings โ Document Template โ your logo, colours, payment terms, and footer text โ so quotes look like they came from you.
Keeping on top
The quote list filters by status, and quote analytics shows conversion rate and the time it takes a quote to be accepted.
Note: your business can rename menu items (Settings โ POS Configuration โ Menu Labels), so the names in your menu may differ from those shown here.
