The vehicle fleet module runs a car, van, or equipment rental operation end to end โ€” from publishing availability to handing back the keys.

Setting up the fleet

Under Vehicle Fleet, define your Vehicle Classes (economy, SUV, van), then add Vehicles with registration, VIN, mileage, and photos. Around those sit the commercial settings: Pricing Rules (seasonal and volume), Insurance Options, Accessories, Promotions, Terms & Conditions, and Pickup Locations.

Taking bookings

Customers book online and pay through your gateway, or your staff create a Reservation after checking availability. The Booking Calendar shows the fleet by week or month so double-booking is impossible.

The counter workflow

Two guided wizards do the work at the desk:

  • Check-out โ€” verify the driver, record fuel and mileage, capture a walk-around inspection with photos, take the deposit, and get a signature.
  • Check-in โ€” inspect on return, bill mileage overage, fuel, tolls and damage, then release or charge the deposit.

Day to day

Active Rentals shows what is out; Overdue Returns chases what is late and applies late fees (waivable); Cleaning Queue tracks turnaround; Deliveries handles vehicles taken to the customer.

Service & Maintenance tracks intervals, parts and tyres; Parts Inventory holds the stock; Documents & Compliance keeps insurance and certification dates; Incidents records damage with location.

Business customers and reporting

Corporate Accounts handles B2B hirers with agreed rates and monthly billing. Fleet Analytics covers utilisation, revenue per available vehicle, profit by vehicle, and break-even.
