Where you hire things out rather than sell them, the rentals module handles rates, availability, and getting the item back.

Setting up rentable items

Under Restaurant & Appointments → Equipment Rentals, define what can be hired and its rates — hourly, daily, weekly — plus any deposit. Rental packages bundle several items at a set price for a common job.

Taking a rental

Ring a rental at the register like any other sale. Set the out and due dates, take the deposit, and the item is marked as out for that period so it cannot be double-booked. The reservation calendar shows what is committed.

Returns

Book the item back in on return. Anything beyond the agreed period bills as a late fee at your configured rate, and damage can be charged against the deposit. Deposits not needed are released back.

Chasing what is out

The overdue list shows what has not come back and how late it is, with customer contact details. Chase early — recovery rates fall sharply with time, and the item is unavailable for hire while it is missing.

Reporting

Rental reports cover utilisation (what proportion of the time each item is actually earning), revenue by item, and overdue history. Utilisation is the number that tells you what to buy more of and what to sell off.

A public catalogue

You can publish a rental catalogue so customers see what is available and book online rather than phoning.

Vehicles are separate

Hiring out vehicles has its own module with inspections, mileage, fuel and compliance. Use vehicle fleet for that; use this for tools, equipment and general items.

Note: your business can rename menu items (Settings → POS Configuration → Menu Labels), so the names in your menu may differ from those shown here.
