- Adding variant photos
Your catalog is everything you sell. Manage it under Catalog → Products, where you can add items by hand, import a spreadsheet, and keep an accurate stock count.
Add a product
Give a product a name and price. Add a cost to track margin, a barcode or SKU to scan it, and an image for the register grid. Turn on Track inventory to keep a stock count that decreases with every sale and increases when you receive purchase orders.
Serial and lot tracking
For serialised goods, enable Track serial to capture a serial number at the point of sale; for perishables or batches, enable Track lots with expiry dates so you can sell oldest-first and report on what is expiring.
Variants
Products that come in sizes, colours, or flavours use variants. Each variant has its own price adjustment, barcode, cost, and stock, and shows as a picker at checkout. Apply a variant template (Clothing Sizes, Colors, Materials, and so on) to generate every combination at once, then adjust prices or stock per variant.
Categories
Group products into Categories with colours and icons so cashiers can filter the register quickly. Categories can be nested, reordered by drag-and-drop, and merged or bulk-edited from the Categories page.
Stock and the inventory ledger
SalesPoint360 keeps a full movement ledger — every purchase, sale, adjustment, transfer, return, and correction — and the product's stock number is the running total. To fix a count, use Inventory → Stock Levels rather than editing the number directly, so the change is auditable. Multi-store businesses can transfer stock between stores and run cycle counts.
Barcodes and labels
No barcode? SalesPoint360 can generate one. Print shelf and product labels from Catalog → Barcode Labels using a template that matches your label size, or design your own with the drag-and-drop label designer.
Suppliers, purchase orders, and reordering
Track who you buy from under Purchasing → Vendors, raise Purchase Orders, and receive stock against them to top up inventory. Set auto-reorder rules so a PO is suggested automatically when a product hits its reorder point.
Product photos
After you upload a product image, AI tools (beside the image, and on each gallery picture) opens an editor showing the original and the result side by side. Nothing changes until you press Use this image, and the original is always kept. Photos taken on a phone are turned the right way up when they are uploaded.
- Analyse with AI looks at the photo and tells you if it needs turning upright, whether its background is plain, and any problems such as too dark or the product too small in the frame. It suggests a product name and description you can fill in with one click, and Apply recommended edits sets everything up for you. It uses the AI provider in your AI settings (one that can read images: OpenAI, Anthropic or Gemini).
- Rotate and mirror in quarter turns.
- Crop: trim empty borders, or crop to the product once the AI has found it.
- Enhance: automatic, or set brightness, contrast, saturation and sharpening yourself.
- Background: replace it with white, a colour of your choice, or transparency. A plain backdrop (a studio sheet, a white wall) is removed with no extra account; for a busy background add a remove.bg API key under Settings → General → AI (charged to your remove.bg account). If your plan includes background removals, any background can be removed without a key of your own, up to the monthly number of included background removals shown on that page.
- A logo or cut-out that is already transparent stays transparent.
- Square canvas centres the product on a square tile, which suits the online store and the register grid.
Variant photos
Give each colour or style its own photo. In the product’s Variants section press Images, choose a photo or upload one, pick the variants (click a value such as Gray to select every Gray size) and press Assign. Each variant’s edit button also has an image, and the AI tools open from both. When a customer picks a variant online, its photo is shown; choose the variant in Gallery Images and that photo appears first, marked Shown online.
Fix many photos at once
Tick the products to show Bulk Actions, then choose Fix Photos. Pick the edits — Straighten (the AI checks which way is up), trim empty borders, auto enhance, background and square canvas — and whether to include variant and gallery photos. A photo shared by several variants is fixed once, and every previous photo is kept. Bulk Actions → Check Photos for Problems checks the whole catalogue for photos that lost a transparent background before October 2026; upload the original image again for those.
Start over or switch back
An edited photo remembers the one it came from. Open the AI tools on it to Start from the original photo (no quality is lost by editing an edit) or to Revert to the original photo.
Other images
The same tools are on bundle images (Catalog → Bundles & Combos), the Catalog → Variants page, the business logo (Settings → General → Business Info — removing the background gives a clean transparent logo), equipment rental items (Restaurant & Appointments → Equipment Rentals), property and unit photos (Property Rentals → Properties & Units), the logo and login background in Settings → White Label, brand logos (Catalog → Brands) and framing samples (Custom Framing → Materials). Where a field holds a link to an image on another website, the tools offer to import a copy first.
Note: your business can rename menu items (Settings → POS Configuration → Menu Labels), so the names in your menu may differ from those shown here.
Variant photos in the register and online store
When a product has variants — for example sizes or colours — a photo you attach to a variant now follows it everywhere that variant is chosen, not only on the product's edit screen in the back office.
At the register
When a cashier adds a product that has variants, the variant picker shows each option with its photo. Seeing the picture next to each size or colour makes it quick to ring up the right one at the counter, which is especially handy for apparel and other look‑alike items.
In your online store
On your storefront each variant can have its own gallery. When a shopper selects a colour (or another option), the gallery switches to that variant's photos, so they see exactly what they are buying. A photo set for a colour applies to every size of that colour.
Adding variant photos
Open the product and go to its Variants section, then use Images on a variant. Selecting a colour chip applies the photo to every size of that colour, so you only upload once per colour. These are the same photos that then appear in the register's variant picker and your store's per‑variant gallery.
