Owner statements & payouts

Where you manage property for someone else, they need a clear account of what came in, what you took, and what they are owed. That is Property Rentals → Owner Statements.
The owner of record
Each property carries its owner — name or entity, mailing address, ownership share, a secondary contact, and payout details. Bank information and tax identifiers are encrypted at rest and displayed masked, because they are exactly the fields you do not want visible on a shared screen.
What a statement contains
For the period: rent and other income collected, management fees, expenses paid on the owner's behalf, deposits held, and the resulting balance. Because it is generated from the ledger rather than assembled by hand, it reconciles.
Management fees
Fees are calculated on the agreed basis — commonly a percentage of rent collected, sometimes a flat monthly amount. Set it per property, since owners rarely all have the same deal.
Paying out
Record the payout against the statement. The owner balance carries forward, so a month where expenses exceeded income shows as a genuine carried balance rather than disappearing.
The owner portal
Owners can log in to see their statements, payouts and property performance themselves. It answers the routine questions before they are asked, which is worth more than it sounds.
Year end
Produce owner tax packets and 1099 summaries where your market requires them, plus CSV exports for their accountant.
Getting it right
- Run statements on the same day each month; owners judge managers on predictability.
- Attach invoices for anything you charged on their behalf.
- Never net a deposit against rent — they are different money and mixing them causes disputes.
Note: your business can rename menu items (Settings → POS Configuration → Menu Labels), so the names in your menu may differ from those shown here.
